How to run a kanban board: tasks, ideas, and tickets

Updated 2026-10-16

Open Projects in the left sidebar. This is the shared delivery board. Your own tasks also appear under My → Tasks. A red badge usually means you have Urgent Active tasks still sitting in To Do.

How to open a project

  1. Use the left tree: divisions, teams, projects.
  2. Click a project. Its board loads.
  3. The breadcrumb shows Page → team → project. Click a crumb to move up.
  4. Hover a folder to add a child when you have access. Header + opens the full create form for the view you are on (task, idea, or ticket).

How to add and move a task

The board shows only Active work. Columns are status: To Do, In Progress, Done. Backlog and Closed stay on List.

  1. Type a title at the bottom of a column and press Enter (quick add). Paste several lines to add several tasks. If more fields are required, they appear in the same box.
  2. Or click + on a column header to start a task already in that status.
  3. Drag the card to change status. Drag the column grip to reorder columns. Trash removes an empty custom column. Leads can Add a column.
  4. Filter, sort, group, and search sit on the list toolbar. Search opens an inline field. Escape closes it.

Example: type “Send the contract” in To Do, press Enter, drag it to In Progress when legal starts.

How to open a task

  1. Click the card. The right-hand panel opens. Cards show title, owner, type, priority, and due date.
  2. Edit fields in the panel. They save as you go.
  3. Stage (Active / Backlog / Closed) lives on the panel, not on the column names.
  4. The ⋮ menu runs actions: start work, move to backlog, request approval, delete. What you see depends on status and your role.
  5. Comments, activity, and files sit under the fields. Type @ and a name to notify someone.
  6. Copy link, expand, or close from the panel header.

Example: open the card, set Friday as the due date, mention legal in a comment.

How to use ideas, tickets, and the other views

  1. Open the Ideas view. Decide there. Delivery happens on a linked task, not on the idea card. Turn an idea into a task when you are ready to ship. Quick add works the same as on the task board.
  2. Open Tickets for intake (problems, questions, requests). Full steps: Tickets. Forms can create tickets. Same board tools: quick add, drag, filter. Escalate a ticket when it becomes real delivery work or a discovery idea.
  3. Overview is charts for this project: work status, delivery, idea funnel, ticket queue, workload. Click a slice when it is wired to open that list.
  4. List is the full table, including Backlog and Closed. Group by stage. Edit status or owner in the row.
  5. Timeline is the schedule. Drag to change start and end dates. Tasks without dates sit to the side until you give them one.
  6. Settings (default priority, type, stage, and status for new tasks) is for leads and above. Those defaults apply tenant-wide for the PM module, not only this project.

How to use project chat

  1. Open the project chat. This is not the header sparkles drawer.
  2. Type at the bottom. Check Ask to and pick an agent when you want a one-shot answer. The checkbox clears after you send.

Sparkles or Ctrl/Cmd+J opens the Projects assistant for this page. Those are different conversations. Full steps: How to use the page assistant.
