How to add a shared secret and request access
This lives under Organization. Shared passwords and API keys for the company. Personal one-off logins belong on My → Secrets. This section is usually only for Founders. Values stay encrypted. You only see a password if Access includes you. People without access see the name only.
How to add a shared secret
- Open Organization. Click Secrets in the left sidebar. The list is the vault.
- Click header +. The form opens.
- Name: what people will recognize. Example: Google Workspace.
- Account: username or email. Example: [email protected].
- Password: the API key or password. Stored encrypted.
- Login URL and Notes are optional.
- Access: everyone with access, by role, by team, named people, by access level, or only you.
- Turn on Requestable if others should ask from My → Secrets.
- Save. Later, open the row to reveal the value if you have access. Cancel leaves the vault as it was.
The Organization tour walks the vault, Available, and this form if your role can create.
How to request and approve
- On My → Secrets, open Available (when it shows a count). Those are requestable secrets you do not own yet.
- Open one and click Request.
- The owner sees it under My → Approvals, Pending.
- They approve. Then you can open the key.
Example: you add “HubSpot API” as requestable, access = Sales team. A new salesperson requests it from My. You approve. They can open the key. They never see keys for Finance.
Store integration keys here, not in a page handler. See Integrations. Back to Organization or the docs map.
