How to share a file and set folder access
Open Files in the left sidebar. This is the shared folder library. Files you uploaded also appear under My → Files. Attachments on a task or a deal stay on that record even if this page is turned off.
How to open a folder
- Use the left tree. Click a folder to see what is inside.
- Access on the folder decides who can open the list. A file inside can have its own access.
- The breadcrumb shows Page → folder path. Click a crumb to move up.
How to add a folder or a file
- Click into the folder where it should live.
- Click header +.
- Create a folder, a document, a board, a design, or upload from your computer. A folder can limit which types are allowed.
Example: open Branding → Logos, click +, upload the wide logo.
How to open or edit
- Switch List vs Icons on the toolbar. Search by name. Filter by type.
- List: rows. Double-click opens View (preview and download). Image thumbnails are hidden from this list on purpose so it stays scannable.
- Icons: tiles. Double-click opens Edit when that type has an editor (document, board, design, web page).
Example: stay in Branding → Logos, switch to icons, double-click the wide logo to replace it.
Don't remember the file name? With semantic search, search and AI agents find content by meaning, not exact words. The same permissions apply, so nobody sees a file they couldn't open anyway.
How to publish a file
- Open the file you want to share.
- Publish that single file when you have access and you want a public link.
- Templates stay internal. Do not expect a public link on a template.
Sparkles or Ctrl/Cmd+J opens the Files assistant. It knows folders, documents, and editors on this page. Full steps: How to use the page assistant.
